Privacy notice

CaseGuard helps you keep a record of family court proceedings in England and Wales. This notice explains what we hold, why, and what you can do about it. It is written to be read, not to be survived.

Who we are

CaseGuard is operated by Keylow Ltd, registered in England and Wales. We are registered with the Information Commissioner's Office.

What we hold

The information you put into the app: your case record, diary entries, documents and photographs you upload, breaches, hearings, people involved, professional contacts, costs, court forms and the outputs our AI features produce for you.

Your account details: name, date of birth, sex, address and contact details, which exist so court forms can be filled in correctly.

Your safety log, if you use it. This is special category data and is encrypted at rest with a key held separately from the data.

Payment records, if you buy anything. Payments are processed by Stripe; we do not hold your card details.

Downloading a copy of everything

You can download everything we hold, at any time, from Settings. You get a single file containing every record and every document you have uploaded, with a contents page explaining what each part is. It is free and it is not limited by what you have paid for.

Your safety log is included only if you unlock it with its PIN when you produce the file, because it is protected by that PIN everywhere else in the app. If you do not, the file says so plainly rather than quietly leaving it out.

The file is not password-protected and it stays wherever your device saves it. If other people can use that device, move it somewhere only you can reach.

Deleting your account

When you ask us to delete your account we confirm it is really you by asking for your password. The account is then locked straight away: you are signed out on every device and it stops working.

The deletion itself happens seven days later. During those seven days you can sign in once more and choose to keep the account - nothing is removed before that point. After the seven days it is permanent and cannot be undone. Deletion completes within 30 days, including backups' normal cycling.

What we remove: your case record, your documents, your diary, the photographs and files you uploaded, your AI outputs and your profile.

What we keep: payment and tax records the law requires us to retain, and a short record that a deletion happened. That record holds no content from your case - only the date, a one-way fingerprint of what was removed, and which system account performed it. It does not hold your name, your email address, your account identifier or any reference to your case.

The payment records we keep are reduced to what the tax rules actually need: the amount, the date, the country and the payment reference. Your postcode and any tax identifier are removed along with everything else.

One thing we want to be straight about: if you have ever paid us, our payment provider Stripe holds its own record of that transaction, including the name and email address you gave at the time. Deleting your CaseGuard account does not yet remove those details from Stripe. We have decided that it should, and it is work we have not finished. Until we have, you can ask us and we will deal with it by hand.

We never delete your evidence because you went quiet. Nothing is removed unless you ask for it.

Photographs and where they were taken

Photographs from a phone often carry the exact spot they were taken, recorded invisibly inside the file. When you add a photo, we remove that location before we store it.

If where a photo was taken is part of what it proves, you can tick a box when you add it and we will keep the location - recorded alongside the entry, so you can see it, rather than left buried in the file.

Either way, location is never included in anything produced for the other party. Ticking the box keeps it for you; it does not share it with anyone. This matters because if you have asked us to withhold your address from court forms, a photo taken at home would otherwise give it away.

Photographs added before 31 July 2026 may still carry their original location inside the file. We have not gone back and altered them, because changing a file you uploaded as evidence causes a worse problem than it solves. They are only readable by you when you are signed in, and the rule above still applies to anything produced for the other party.

Your rights

You can see what we hold, correct it, download it, and have it deleted. The download and the deletion are both in Settings and neither costs anything.

If you think we have handled your information badly, you can complain to the Information Commissioner's Office. We would rather you told us first so we can put it right.

Keeping it safe

Your safety log is encrypted at rest under a key that is unique to you and held in a separate key service, so the database alone cannot read it. It is also protected by a PIN you choose.

You can hide the app behind a calculator on your phone, and it installs without naming itself. These exist because for some of our users the person the case concerns has access to their device.
